The Roles page lets community administrators control exactly what staff members and property members can do in MyWatchtower. This guide explains how roles and permissions work and how to customize them.
Getting to the Roles Page
- Go to Settings in the left navigation menu
- Click or tap the Roles tab
The Roles tab is only visible if your role has the "Add & edit" permission for Users. If you don’t see it, contact your community administrator.
Understanding Permissions
Every permission combines an area of the app (such as Guests, Vehicles, or Entry Records) with an action level:
- View – See the information
- Add & edit – Create and change records
- Delete – Remove records
A role is simply a named collection of these permissions. The Roles page has two sections: Roles (for community staff) at the top and Property roles (for owners, managers, and tenants) below it.
This section defines what staff can do across the whole community. Each role in the list shows how many permissions it grants. Built-in roles (such as Administrator and GateAttendant) are marked with a Default badge.
Creating a Custom Role
- Click or tap New role
- Enter a Role name
- Check the permissions the role should grant, grouped by area
- Click or tap Create role
Editing and Deleting Roles
- Click any role to edit its permissions. Editing a role updates everyone who currently has it.
- The Administrator role can’t be renamed, and it always keeps the View and Add & edit permissions for Users — this prevents administrators from locking themselves out of the Roles page. Other default and custom roles can be renamed.
- Only custom roles can be deleted, and a role that is still assigned to someone can’t be deleted.
Property Roles
Property roles define what people can do at their own property. The defaults are Owner, Manager, Resident, and Tenant, each marked with a Default badge.
- Renaming a default property role only changes the label your community sees — the underlying role stays the same.
- Owner can’t be renamed and always keeps a minimum set of permissions (viewing the property and viewing/managing its users).
- Resident is the fixed default role for property members — its permissions can’t be changed. Use Tenant, Manager, or a custom role to customize access.
- Use New property role to create a custom property role. At least one permission must be selected.
If your community is part of a community group, roles are shared across every community in the group — changes apply everywhere.
